We have compiled the steps for receiving and returning a vehicle, and we provide useful tips on how to prepare for these in advance. Contacting us
Our Fleet team will get in touch with the person designated by the Client as the Fleet contact regarding the handover of the vehicle(s).
If you are the responsible person, our colleague will get in touch with you using your preferred method – by phone or email – to arrange the location and time for receiving the car.

Recommended preparations
Depending on the location of the vehicle reception and use, it may be advisable to arrange in advance for the purchase of toll road permits (highway vignette).
The stickers can also be purchased with our assistance. If you did not request this service, please purchase vignette for the highways you will use. If you need assistance with purchasing the stickers, we are happy to help.
On the day of the handover

Vehicle condition assessment:
Recording any detected defects in the report.
Receiving the necessary documents:
- vehicle registration certificate
- insurance certificate
- authorization to drive the vehicle
After the inspection, by signing the Handover-Takeover Report, you confirm the accuracy of the above.
Important: It is the joint responsibility of both the person handing over and the person receiving the car to check the condition and accessories of the vehicle.
What else happens on the day of the handover?
1. Regarding the vehicle(s)
During the handover, we will show the most important functions and features of the car.
- Vehicle customization: How can you adjust the car to suit your needs?
- Driver assistance systems and extras: What driver assistance systems are available and how can they be activated?
- Mobile connectivity: How can you connect your mobile phone to the car display?
2. Regarding operational use
We provide information on the most important questions related to the rental period and answer your questions.
- Service: How often and where does the car need to be serviced?
- Tire changeovers: How are winter and summer tire changeovers carried out?
- Emergencies: What should be done in case of an accident, lost ignition key, or other problems?

Frequently asked questions
Where can the new vehicle be received?
A new vehicle can be handed over at MOL Mercarius locations, at our Clients’ own premises, or at the new car showroom.
What should you prepare for on the day of receiving?
It is important to check that the vehicle recipient has a valid ID card and driving license. Furthermore, it is necessary to ensure that the toll fees for toll roads have been paid and that the stickers required for the highways you use have been purchased.
What are the mandatory accessories of the car that must be checked during the handover?
The following mandatory accessories must be checked:
warning triangle
first aid kit
spare wheel or puncture repair kit
high-visibility vest
European “blue-yellow” accident report
car jack*
and the wheel wrench*
*If you receive a puncture repair kit, the mandatory accessories will not include the car jack and wheel wrench.
What happens, if damage or a defect is noticed during the handover?
The detected defects must be recorded in the report, and if necessary, an appointment must be arranged for the repair. It is important that the vehicle’s condition is checked together.
Do we receive a fuel card when receiving the car?

The date and location for returning the vehicle must be arranged in advance with our Fleet team.
When should you inform us about when you will return the vehicle(s)?
- For a short-term rental agreement (lasting a few months), at least 2 hours in advance.
- For a long-term rental agreement (lasting several years), at least 48 hours in advance.

Recommended preparations
When returning the vehicle(s), it is important that the car is returned in as clean a condition as possible (applies to all vehicles if there are multiple), so that any external and internal damages can be clearly identified.
If time permits, please take the vehicle(s) you wish to return to a car wash before returning them.
Important: If any cosmetic damages cannot be determined on-site, the vehicle condition assessment can only take place after washing, without the presence of the Client.
On the day of return
The process of returning the vehicle(s), including a detailed condition assessment and documentation, typically takes about 15 minutes due to the detailed condition assessment and documentation. Therefore, it is important to plan not just for a simple key handover, but to allow time for this process!
When returning the vehicle(s), both the person returning and the person receiving the vehicle are jointly responsible for checking the condition and accessories. We recommend that you actively participate in the following inspections:
